Governance Information

Please read the information given below.  When registering, you will be asked if you have read Erindale's governance policy.  

  1. Governance and Scope
    1. Incorporation
    2. The Erindale Hockey Association (EHA) is a duly incorporated, non-profit Corporation. The affairs of the Corporation are managed by a Board of Directors duly elected in keeping with the Corporation’s governing Constitution and By-laws which are publicly available. The Association operates under the guidelines of the Mississauga Hockey League (MHL) which is a member of the Greater Toronto Hockey League (GTHL).

    3. Teams
    4. The EHA operates house league teams in the MHL in the Minor Novice up to Juvenile loops for ages 7 – 20 (as at December 31 of the year of registration). EHA house league teams play house league teams from other associations in the MHL. We also operate, within Erindale, an Initiation Program for ages 5 and 6 and a limited number of 4 year olds.

       

    5. Player Registration
    6. Erindale operates an online registration procedure for its pre registration and open registration process. Every child who played at Erindale the previous season has the opportunity to secure a position for the following season during the pre registration period announced before the Annual General Meeting. The remaining spots are made available to all Mississauga residents at open registration.

       

    7. Fees
      1. Registration Fees
      2. Registration fees are $400 per player for the Initiation Program, $355 per player from Minor Novice to Midget and $185 per player for Juvenile. Cash, cheque, Visa or MasterCard are accepted for payment. Post-dated cheques are not accepted.

      3. Sibling Discount
      4. The second and subsequent sibling from the same family receives a $25 discount on their registration fee.

      5. Refund Policy
        1. Up to September 1 the registration fee, less $75, will be refunded
        2. From September 2 to November 15 the registration fee, less $125, will be refunded.
        3. No refund is paid after November 15.
        4. Erindale reserves the right to waive the release fees in special cases.

         

      6. Equipment and Services Provided

Registration fees cover the cost of:

    • Jersey and socks
    • Weekly practice, except Juvenile which is once a month
    • Services of team officials and association
    • Individual and team photos
    • Year end award
      1. Team Fund-raising
      2. Any team may choose to raise additional funds to cover the costs of extra hockey equipment and activities including additional practices, paid instructors, tournaments, sportswear, etc. Guidelines are provided below under the Team Operations section.

      3. Game Admission Fees

The Mississauga Hockey League charges a gate admission fee to games for players and spectators (excluding young children and seniors) to pay expenses related to the game including ice time, referees and ticket takers. This fee is currently set at $4 per person.

 

    1. Use of Association Name and Logo

No individual may reproduce the EHA name and/or logo without the express written consent of the association.

  1. Team Operations
    1. Team Officials

The EHA assigns a head coach to each house league team based on qualifications, experience and a commitment to the EHA philosophy. The head coach is responsible for the recruitment of the other team positions which normally includes:

    • Assistant coach (1-2)
    • Trainer
    • Manager

All "carded" EHA team officials and Executive members must have completed the Speak Out coarse.

    1. Payments to Team Officials
    2. The EHA does NOT financially compensate team officials for services rendered or out-of-pocket expenses incurred in the course of the operation of the team. The only payments made to team officials by the EHA are to offset expenses incurred by the team officials for registering in CHA recognized education and training courses.

    3. Sponsorship/Team Fund Raising
    4. House league teams are assigned a sponsor by the Erindale Sponsorship Director. Sponsorship fees are $500, paid directly to the Erindale Hockey Association. Only that one sponsor may appear on a team’s sweater. Teams may choose to raise funds to cover the costs of extra hockey equipment and activities including additional practices, paid instructors, tournaments, sportswear, etc. Fund raising activities and/or events must be approved by the EHA in advance. The specific fund raising activities and/or events will be decided by the team as a group. Individual families may choose to decline participation in a particular fund raising event without sanction instead choosing to make payment to the team of an amount equal to the prorated portion raised by each participating family.

       

    5. Bank Account

If a house league team opens a chequing account, at the bank of their choosing, at least three (3) individuals from the team will have signing authority being:

    • 1 team official
    • 2 unrelated parents and/or guardians of team players

A minimum of two signatures are required on any cheque issued from the account or cash withdrawal. Revenues should be deposited into the team bank account and expenses paid out of the team bank account using cheques. Expenses should not normally be paid in cash except to offset the direct costs associated with a fund raising event.

    1. Financial Statement

Every house league team that has a budget over $1000 will keep detailed and accurate records itemizing the source, date and amount of all revenues raised by the team and all expenses incurred by the team. Reports of the latest financial information available shall be provided to each team family and to the EHA Director of Administration on or before the following dates:

    • November 15
    • January 1
    • Before the last team function or April 20, whichever is earlier

 

    1. End of Season Surpluses
    2. Surpluses in the team bank account at the end of the hockey season will be distributed to the families on the team, normally on an equal basis. Where appropriate, the surplus may be prorated according to the relative contributions made by the respective family members.

    3. Apparel
    4. Sportswear apparel is to be purchased from association authorized vendors only.

    5. Dispute Resolution Procedures

In the event of an unresolved dispute between association members (team officials, parents, players, etc.) a written complaint should be made to:

    1. the Head Coach. If not resolved then to:
    2. the EHA Convener of that loop/ V.P. Convening. If not resolved then to:
    3. the EHA President. If not resolved then to:
    4. the MHL President. If not resolved then the MHL dispute resolution rules apply.

 

  1. Team Officials

 

3.1 Head Coach Responsibilities

1) Ensure that players are not abused or harassed.

2) Ensure that profane language or racial slurs are not tolerated.

3) Communicate with parents.

4) Plan practices and share with assistants.

5) Designate Members of Bench Staff

6) Help conduct September evaluations, if requested.

a) Supply volunteer for registration

b) Help with on-ice activities

c) Keep player evaluations confidential

7) Co-operate with arena staff.

8) Co-operate with ticket sellers and ticket takers.

9) Perform Rink Duty as required by MHL.

10) Ensure dressing rooms are kept in a reasonably tidy state.

11) Submit a Financial Statement to the EHA Director of Administration (if team budget is

Over $1000) on specified dates.

12) Obtain designated coaching levels as required by MHL

13) Plan or delegate fund-raising activities, as required.

14) Return all EHA equipment at end of season.

15) Demonstrate leadership

16) Ensure that players receive equitable playing time

17) A verbal or written commitment cannot be made to a player. Players are assigned by the EHA and cannot be recruited

18) Understand that an assigned player can request a release from the EHA, but cannot be "cut" by a coach.

19) The Head Coach is responsible for the conduct of the players, bench staff and parents on the team during all team events.

20) Erindale expects its' coaches, players and parents to conduct themselves in an appropriate manner displaying respect for others at all times.

21) A Coaching Handbook is available that details the specific responsibilities of a coach in the MHL.

22) Tournament participation must be approved by the EHA Tournament Director. Permission will not be granted for entry to non-sanctioned tournaments or non-sanctioned exhibition games.

23) Every exhibition game must have certified referees and an insurance number from the City

 

    1. Ice Time Policies
    2. Erindale adheres to an "equitable" ice-time policy at the house league levels. The policy recognizes that in specific games events may prevent equal ice-time but that, over the course of several games and a season, each player will receive an equal portion of ice-time relative to the other players at his/her position and the games in which the player participated. This policy forms a basis for our hockey philosophy at Erindale and is stressed to all of our coaches. Each head coach is aware of this policy and is responsible to ensure that all bench staff members conform to the policy.

    3. Sanctions for Misconduct

Erindale team officials who are charged with a violation of the rules of conduct will be brought before the Erindale Discipline Committee which is overseen by Erindale's Director of Discipline. In the event of a serious infraction the Director of Discipline may impose an immediate suspension order before the committee meets. The committee will review the details of the infraction and make a ruling as to whether a violation of the rules did occur and determine what penalty, if any, will be imposed.

  1. Parent and/or Guardian Policies
    1. Code of Conduct

The EHA requires parents and guardians to conduct themselves in a respectful manner at all times during association related events keeping in mind their obligations as role models to their own and others' children. Behaviour as spectators during hockey games and other events should be of a positive nature geared towards the encouragement of positive values. Loud verbal criticism of referees, coaches or players is discouraged. Harassment of any kind will not be tolerated. Head coaches are expected to play a lead role in promoting this code of conduct including the establishment of team rules related to the acceptable conduct of parents and guardians.

    1. Sanctions for Misconduct

The same sanctions apply to parents and guardians as to team officials as described above.

    2. Players are expected to show respect for team officials, teammates, parents and referees at all times.

    3. Injury
    4. The EHA adheres to the MHL Concussion Policy as follows:

      "Any player who has been diagnosed by a physician to have any degree of concussion from any activity will NOT be permitted to return to playing status in the MHL, including practices or dry land training, without the written authorization from that physician, with a copy of the authorization being supplied to the MHL Office."

    5. Sanctions for Misconduct

Violations of team rules by a player will be dealt with by the Head Coach in accordance with the team rules. Where the violation relates to an association policy the player may be called before the EHA Discipline Committee as described above.

 


 

Registration Procedure 2008/2009

 

For the 2008/2009 hockey season, the Erindale Hockey Association will again be using an on-line registration system accessed through our web-site.  As some people have encountered difficulties when using Mac computers, we suggest you register with a Windows PC to ensure reliability.

Pre-registration

Pre-Registration for returning players will open on May 15th and close on June 5th.  Please take this opportunity to guarantee your child’s spot as the next available opportunity to register will be during open registration.  You must use the same ID and password that you used to register your child last year.  If you do not have this information, please contact the Registrar.

Pre-registration will be available to families who (a) were registered with our association in the 2007/2008 season or (b) those families that have a child registered on an Erindale "A" team for the 2008/2009 season. 

If you are registering a sibling who is new to the Mississauga Hockey League, a copy of their birth certificate, passport or citizenship must be forwarded to the Registrar before registration is accepted.

Open Registration

Open registration will begin on June 15th, 2008 at 7pm .  Registrations are accepted on a first-come, first-served basis.  As many of our age groups fill quickly, we suggest that you register as soon as possible. 

Registration Procedure

Before you begin the on-line registration process, please have your child’s (children’s) birth certificate, passport or citizenship number available. Registration will not be approved without a valid number.

The first section of the process is to register the main family contact which would be a parent or a guardian. The second section is registering the player or players (referred to as "members") and finally the third section is payment. Every field that has an asterisk next to it must be answered in order to continue the process.

Please ensure that you enter your e-mail address carefully.  The e-mail address provided on the registration form is used for most of our communication with the players.  In addition to confirming registration, these addresses are provided to the convenors for evaluation notices and then to the coaches for weekly communications.  Having current information helps us to keep our players informed.

Member Services Management offers a highly secure system and consequently they require personal information about the parent or guardian. This ensures that no one can access your child’s personal information without your consent.

Once you have completed the registration process, your child's registration information will be forwarded to Erindale's Registrar.  You will receive your first e-mail at this time indicating that your registration has been received.

Please keep your receipt.  Your payment  and a copy of your receipt must be received by the Registrar within 5 business days of your registration.  Please note, if your child has not played in the Mississauga Hockey League before a copy of your child's birth certificate must also be sent to the registrar.  If your child has played previously in the MHL, please indicate on your receipt the association they played for.

Once the registrar has received payment and proof of birth date, you will receive a second e-mail confirming your child’s registration.  Failing your prompt payment to the Registrar, your position will be given to the next person on the waiting list.

There are four methods of payment available

c.      money order (made payable to Erindale Hockey Assocation)

d.     current dated cheque (made payable to Erindale Hockey Assocation)

 

For those families that prefer to mail or drop off their cash, cheque, or money order please make sure that you print the invoice and include this with your payment. No post dated cheques will be accepted.

Tax Receipts:

Your tax receipt for claiming the Children’s Fitness Tax Credit will be available through the MSM registration system in February 2009.  At that time you can re-enter the registration system using the same ID and Password that you used for registering and access your receipt for printing.  No tax receipts will be available before February 2008.  Tax receipts are not issued by the Registrar.

Refund Policy

Refunded registration fees are subject to an administration fee of $75.00 for players who withdraw their registration from the Erindale Hockey Association up to Sept 1st.

The administration fee will increase to $125 
between Sept 2nd and Nov 15th.

No refund will be issued after November 15, 2008.

No refund will be issued where a false statement is made on the Registration Form. i.e. false address submitted by a non-resident of Mississauga or registered with another association for the current season.

Frequently asked questions

 

  1. Can I register a sibling of a player already registered with the Erindale Hockey Association? Yes. Registration can be done through our online registration system. Players not previously registered with Erindale Hockey must supply a photocopy of their birth certificate with registration.

2. How will I know that my child is registered?

Your registration will be confirmed by email.   Please ensure you have entered the correct e-mail address when registering.  NO e-mails or phone calls will be returned regarding this subject.

 

3. How do my friends register if they did not play for Erindale last year?

Open registration in June is open to old and new players on a first come, first served basis.

You must be a resident of Mississauga to play hockey in Mississauga.

 

4. Who do I contact if I would like to sponsor an Erindale team?

Sponsorship is important to maintain the high level of quality hockey programs offered by the Erindale Hockey Association. Should you  or your company be interested in sponsoring a team, please call Michelle Parent @ 905-569-0038. Subject to change after EHA AGM. Monitor website for possible changes.

 

  1. When / how will I hear when my child is going on the ice? When does the season start?
  2. Convenors will begin phoning players after Labour Day to let them know when they are on the ice. The hockey season starts around the end of September, after evaluations are complete and your child has been placed on a team.

    7. When does body checking start?

    At the ‘A’ level, body checking starts at Minor PeeWee through to Midget. 

    In house league, there is body checking from M.PeeWee to Bantam at the red level only. There is no body checking in Minor Midget, Midget or Juvenile.
